About the role
This is far from a routine virtual assistant position. The selected candidate will work directly with the company’s entrepreneur and family enterprise, supporting a range of activities across multiple companies, nonprofits, trusts, and estates.
From in-depth research to day-to-day operations, the Virtual Assistant will serve as the behind-the-scenes problem-solver who ensures critical details are managed so strategic priorities stay on track.
Key Responsibilities
- Oversee scheduling, email, and calendars for several entities.
- Conduct research on diverse subjects, including fine art investments, tax implications, fractional executive opportunities, real estate, and historical preservation.
- Maintain organized digital systems across Google Workspace, Slack, and other automation platforms.
- Assist with probate matters, appraisals, nonprofit updates, and fundraising initiatives such as GoFundMe campaigns.
- Track project progress and deliver concise status reports.
- Perform quick sentiment checks and explore emerging tech/AI innovation topics.
- Handle highly sensitive information with strict confidentiality.
Candidate Profile
- Minimum of two years’ experience as a Virtual Assistant; background in estates, startups, or technology is advantageous.
- Proficiency with Google Workspace, Slack, Zoom, Squarespace, and Cloudflare.
- Strong research capabilities and comfort with complex, multi-entity operations.
- Familiarity with automation tools such as Zapier or Python is a plus.
- Highly organized, proactive, and able to work independently.
- Direct, clear communicator with a preference for efficiency.
- Availability of 8–12 hours per week with flexibility for fast-moving priorities.
- Based in U.S. time zones (EDT–3 to UTC+1 preferred); green card or equivalent if international.
